Responsibilities

This Catalog & Technical Documentation Administrator role supports a DoD contract where products are catalogued against a strict contractual structure (CLIN/SLIN hierarchy) before they can be quoted, purchased, delivered, or renewed. The Catalog Document Control Administrator is the technical steward of that catalog: they research vendor product documentation, validate that proposed items fit the technical scope of their assigned contract line, and prepare the controlled catalog records that Finance, the Buyer, Asset Management, and Logistics all rely on downstream.

This is a hands-on technical catalog role, not a records-clerk role. The person in this seat is expected to read vendor datasheets and licensing documents, reason about hardware vs. software, perpetual vs. subscription, and recurring vs. one-time cost, and defend the catalog's technical accuracy against audit.

 

This is a 100% remote position.

  • Build and maintain bills of materials (BOMs) for communications and networking equipment (routers, switches, optics, firewalls, load balancers, rack cabinets, peripherals), associated software, licenses, and virtual machines, plus storage, server, and endpoint products (desktops, laptops, PC peripherals) as the catalog scope requires
  • Validate proposed catalog items against the technical scope of their assigned CLIN/SLIN by reviewing vendor technical documentation (datasheets, product briefs, licensing terms) and confirming the item's specifications meet the contractual requirements of that line; document the SKU-to-SLIN mapping and rationale so the catalog remains auditable against the contract
  • Prepare and load structured import files that add parts to the proprietary catalog/contract management system with the correct SLIN/SKU identifier, description, specifications, quantity, pricing, parent/child (option) linkage, and configuration metadata
  • Research and document End-of-Life (EOL), End-of-Sale (EOS), and End-of-Maintenance (EOM) schedules for catalog parts; coordinate with technical staff on replacement verification, and track the decommission of superseded SLINs/BOMs/items/linkages and the stand-up of their replacements
  • Gather, comprehend, and document product pricing (including discount, margin, amortization, and monthly vs. outright considerations) to prepare pricing documentation for Finance review and adjustment; coordinate with the Asset Manager and Logistics Manager to flag items requiring serialization, delivery tracking, or renewal tracking post-purchase
  • Audit the catalog for conformance to the contractual catalog structure, prevent duplicate entries, maintain version history, and ensure obsolete items are retired so the catalog remains the authoritative source of purchasable, contract-compliant products
  • Perform related administrative, data entry, and reporting tasks assigned by the supervisor, and support the PMO team with product documentation and reporting as requested

Preference for candidates located in the Oklahoma / Oklahoma City metro area to enable periodic in-person 1:1 meetings, customer meetings or functions, and occasional team meetings. Standard business hours with cross-functional coordination across Finance, Asset Management, Logistics, and the PMO.  A quiet and distraction free office environment is required.

Required qualifications

  • US Citizenship.
  • Must be able to obtain and maintain a Secret eligible clearance
  • Bachelor's degree with 2+ years of relevant experience; or Associate's degree with 4 years; or 6+ years of relevant experience in lieu of a degree
  • Working technical literacy with enterprise IT and networking products: able to read vendor datasheets and licensing documentation and distinguish hardware vs. software, perpetual vs. subscription, recurring vs. one-time, maintenance tiers, RMA processes, and license tiers
  • Advanced Excel: pivot tables, data validation, and large-file reconciliation
  • Comfort with product and pricing math: discount percentages, margin, amortization, and monthly vs. outright purchase pricing
  • Clear written documentation habits and an audit-minded approach to version control, traceability, and change management
  • Ability to coordinate across Finance, Asset Management, Logistics, PMO, and technical staff to move catalog items from proposed to approved to retired

Desired Qualifications

  • Prior experience maintaining a product catalog, SKU master, or BOM library against a contractual structure (CLIN/SLIN, task orders, IDIQ, or similar)
  • Familiarity with networking and network security product lines (Cisco, Juniper, Palo Alto, Fortinet, F5, Arista, or equivalent) and with virtualization and licensing models (VMware, Microsoft, Red Hat, etc.)
  • ITIL Foundation, CompTIA Security+, or CompTIA Network+ certification, or willingness to obtain within a reasonable timeframe
  • Experience with proprietary or commercial catalog/contract management systems and bulk-import workflows
  • Exposure to DoD contract vehicles and the documentation discipline they require

Target Salary Range

$51,000 - $82,000. This represents the typical salary range for this position. Salary is determined by various factors, including but not limited to, the scope and responsibilities of the position, the individual’s experience, education, knowledge, skills, and competencies, as well as geographic location and business and contract considerations. Depending on the position, employees may be eligible for overtime, shift differential, and a discretionary bonus in addition to base pay.
