Responsibilities

The Front Office (FO) Special Assistant (SA) is a full-time position central to the coordination and smooth daily operation of the executive leadership team and associated FO activities. As part of the FO team, the SA will be in a trusted position to coordinate and manage activities related to a variety of sensitive topics to include mission, budget, and personnel. With a small but dynamic FO leadership team, the SA will need to be adaptable, resilient under pressure, and capable of operating independently.

 

Specific responsibilities include but are not limited to:

  • Manage calendars for the executive leadership team
  • Serve as a focal point for all facilities/space-related issues and projects
  • Schedule and manage upcoming major briefings and engagements
  • Serve as a time and attendance time keeper for staff personnel
  • Coordinate and order office supplies
  • Provide FO travel support, to include reservations, coordination, accounting, etc.
  • Maintain phone lists, department messaging groups, and phone trees
  • Manage and coordinate the submission of the department's inputs to the weekly office activity summary
  • Manage executive leadership's Brain Book inputs and updates

 

Qualifications

Required:

  • Minimum of 8 years with BS/BA; Minimum of 6 years with MS/MA; Minimum of 3 years with PhD
  • Bachelor's degree in a relevant technical field, or 4 additional years of relevant technical experience may be accepted  in lieu of degree;
  • Active TS/SCI security clearance with Polygraph
  • Prior customer experience with knowledge of customer applications, systems, tools, and protocols
  • Excellent communication and customer service skills
  • Proven ability to effectively manage competing priorities as well as anticipate requirements and potential issues
  • Demonstrated sound judgment and discretion
  • Proven ability to adaptively prioritize time-sensitive issues
  • Self-starter who is flexible and willing to meet the challenges and changing needs of a dynamic organization
  • Proven track record of being a team player who is willing to pitch in and get the job done

Desired:

  • Ability to support and/or lead planning of offsites and all-hands, support creation

Target Salary Range

$104,000 - $166,000. This represents the typical salary range for this position based on experience and other factors.
